Don’t treat your SAP and SAP SuccessFactors integration like a ‘black box’

If you’ve navigated a hybrid SAP rollout, you’ll know that SAP SuccessFactors Employee Central (EC) runs your HR processes in the cloud, while Payroll runs on the back end – either SAP SuccessFactors Employee Central Payroll (ECP), or an on-premise SAP Payroll system, such as SAP ERP Central Component (ECC). Between them sits a replication process that is supposed to keep the two in step. But standard monitoring tools are built to confirm replication jobs, not verify data integrity.
SUMMARY: Standard monitoring tools can confirm that a replication job was successful, but they can't verify data integrity between SAP SuccessFactors Employee Central and SAP Payroll. Portlet-to-infotype mapping discrepancies, unsynchronised manual edits, and unmapped custom fields can leave EC and Payroll out of sync until Payroll runs. Effective monitoring requires field-level validation, exception-only reporting, automated scheduling, and live data access to identify mismatches before Payroll processing. Why delivery confirmations don’t guarantee SAP Payroll accuracy
If you’ve navigated a hybrid SAP rollout, you’re all too familiar with the process. SAP SuccessFactors Employee Central (EC) runs your HR processes in the cloud, while Payroll runs on the back end – either SAP SuccessFactors Employee Central Payroll (ECP), or an on-premise SAP Payroll system, such as SAP ERP Central Component (ECC). Between them sits a replication process that is supposed to keep the two in step, whether that's point-to-point replication into ECP or the Business Integration Builder into on-premise SAP.
Standard monitoring tools are built to confirm replication jobs, not verify data integrity. They confirm that a job was successful, but they are blind to whether the data being replicated matches what's in your SAP Payroll system – and that is exactly where your Payroll accuracy starts to drift. That isn’t a flaw in how your landscape was built; it is simply outside what those tools were designed to do.
The false security of a successful replication job
A successful replication job simply means data has been copied from EC to your SAP Payroll system. However, successful replication doesn’t ensure data accuracy, and Payroll errors often trace back to data that was replicated without complaint. The primary causes of these failures include:
- Portlet-to-infotype mapping discrepancies: Information resides in fundamentally distinct structures in EC and need to be translated into Infotypes in SAP Payroll. Although replication processes attempt to map EC portlets into backend Infotype tables, standard logs merely confirm transmission status. These logs leave you in the dark as to whether target Infotypes actually receive accurate, properly formatted values.
- Unsynchronised manual edits: If an administrator manually updates an employee record directly in the SAP Payroll system without updating EC, the two systems become out of sync. These manual edits lead to troubles during the most stressful time of business operations – Payroll runs.
- Unmapped custom fields: Custom fields, or standard fields added to EC after go-live, simply aren't mapped to your replication (transformation template). No error is raised, and the replication log reports success. The custom field simply never arrives in the SAP Payroll system.
What do SAP Payroll errors cost you?
These issues share one characteristic: nothing announces them. They surface only when something forces them into the open – and that something is usually Payroll. By then, you are dealing with:
- data inconsistencies between SuccessFactors and ECP or SAP Payroll that nobody knew existed
- hours of manual reconciliation to work out which records differ, during the narrowest window in the month
- missed pay deadlines and failed audits, because the discovery came after the run rather than before it
- inconsistent reporting and compliance exposure across the two systems
Most hybrid environments experience replication issues that aren’t caught until it’s too late; not because teams aren’t watching, but because the thing they’re watching isn’t where the problem is.
Validating Payroll data field-by-field
If you aren't comparing actual values across systems simultaneously, you're guessing, not monitoring.
For example, the custom field cust_medicalDependants was created in EC for employee medical insurance updates to enable medical tax credits in SAP Payroll. Because it was omitted from the field mapping, it was never replicated. The log failed to detect the issue, and it was only caught when the employee noticed the discrepancy on their payslip.
Effective monitoring should flag these discrepancies before Payroll processing.
True and effective data monitoring requires comparing the actual values in both systems simultaneously before running Payroll. Rather than assuming data moved correctly, field-level validation tools load HR and Payroll records side-by-side.
